In short: Qadan Analysis Consulting collects only the information needed to respond to your enquiry and deliver our services. We don’t sell your data. When we automate a business process for you, we ask for anonymised sample data wherever possible, hold it in Australia, and delete it after the engagement. You can ask us what we hold about you and request its deletion at any time.

This policy explains how Qadan Analysis Consulting (“Qadan,” “we,” “us”) handles personal information. It applies to our website at qadan.com.au, enquiries you send us (including through LinkedIn lead forms), and information handled while delivering our consulting and automation services. We handle personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

Information we collect

Information you give us

  • Enquiry details — when you contact us or submit a form (including a LinkedIn lead form), we collect your name, work email, job title, company name, and the details you choose to share about your processes or needs.
  • Engagement information — if you become a client, we collect the information needed to scope, quote, deliver, and invoice the work, including contact and billing details.
  • Project data — to build an automation or analysis prototype, we process the data files you provide. We ask you to supply anonymised or de-identified sample data wherever the work allows it (see “Client project data” below).

Information collected automatically

  • Website usage — when you visit our website we may collect standard technical information such as your IP address, browser type, pages viewed, and referring source, through cookies and analytics tools.
  • Cookies — we use cookies for basic site functionality and analytics, and may use the LinkedIn Insight Tag to measure ad performance. You can control cookies through your browser settings.

Information from third parties

If you respond to one of our LinkedIn ads, LinkedIn passes us the contact details you submit through their lead form, in line with LinkedIn’s Privacy Policy.

How we use your information

We do not sell your personal information, and we do not use the data inside your project files for any purpose other than delivering your engagement.

Client project data

Because our work involves handling your business data, we apply specific safeguards:

  • Minimisation — we request anonymised or de-identified sample data wherever the task allows, so prototypes can be built without exposing real individuals’ details.
  • Location — project data is stored and processed in Australia (Microsoft Azure, Australia East region).
  • AI processing — where AI models assist the work, we use enterprise services (such as Azure OpenAI) that do not use your data to train their models. Your content is not used to improve any third-party model.
  • Access — project data is access-controlled and used only by Qadan for your engagement.
  • Retention — we delete project data files after the engagement and any agreed support window ends, unless you ask us to retain them or we’re required to keep records by law.
Specific data-handling terms — including residency, retention periods, and confidentiality — are set out in the written agreement for each engagement, which takes precedence over this general policy where the two differ.

Who we share information with

We share personal information only as needed to run our business, with:

  • Service providers that help us operate — for example cloud hosting (Microsoft Azure), email delivery, scheduling, analytics, and payment processing. These providers handle data on our instructions.
  • Professional advisers such as our accountant, where reasonably required.
  • Authorities, where we’re required to disclose information by law.

Some providers may process data outside Australia. Where that happens, we take reasonable steps to ensure your information is handled consistently with the APPs.

How we protect your information

We take reasonable steps to protect personal information from misuse, loss, and unauthorised access — including encrypted connections (HTTPS), access controls, reputable cloud infrastructure, and limiting who can see your data. No system is perfectly secure, but we work to keep risk low and respond quickly to any issue.

How long we keep it

We keep personal information only as long as needed for the purpose it was collected, or as required by law (for example, financial records we must retain for tax purposes). Enquiry data from people who don’t become clients is deleted or de-identified once it’s no longer needed. Project data follows the retention rules above.

Your rights

You can, at any time:

  • Ask what personal information we hold about you and request a copy;
  • Ask us to correct information that’s inaccurate or out of date;
  • Ask us to delete information we no longer need to keep;
  • Opt out of any marketing messages;
  • Raise a concern about how we’ve handled your information.
